# What admins and members can do Updated: 1 Oct 2026. Source: https://www.botsay.ai/docs/people-and-roles Members can read every screen and do the work. Admins can do all of that and also remove things, set targets and manage people and engines. Admins invite people in **Setup**, **People**. ## What can a member do? A member can read every screen and do the work, which includes: - Adding questions, brands, rivals and sites. - Changing a question's theme, rewording a question and choosing **Stop asking**. - Renaming a brand and deciding the items in **Work**. - Downloading the CSV files described in [Export your data as CSV](https://www.botsay.ai/docs/exports). - Opening **Setup**, **Readings**, which shows the country questions are asked as, and **Your account**. ## What can only an admin do? An admin can do everything a member can, and also the following. - Open **People**, the change log, **Engines**, **Themes** and **Billing**, and set a **Country** on **Readings**. - Set targets. See [Set a target for each measure](https://www.botsay.ai/docs/targets). - Remove a rival, a site on a rival, one of your own sites or another name for a brand. - Choose **Mark as not yours** on a cited page in **Evidence**. - Invite people and remove them. A member who opens an admin page sees "This page is for workspace admins." Where it can, the page names your admins, so you know who to ask. Open **Setup**, **People** and choose **Invite someone**. 1. Fill in **Work email**. 2. Under **What they can do**, choose "Member: read everything, do the work, add names, sites and questions" or "Admin: also remove things, set targets, manage people and engines". 3. Choose **Send invite**. BotSay emails them an invitation and the box says "We emailed" followed by their address. If the email could not go, the box says "We could not email them their invitation, so send it yourself." and shows a link with **Copy the link**. The link is shown once and is not stored. ## What limits who I can invite? BotSay sends at most 30 invitations a day for a workspace. An address that already has a BotSay sign-in cannot be added again, and the box says "That email already has a sign in account. It cannot be added again here." A person's role is set when you invite them. The **People** page has no control to change it afterwards. ## What does the People list show? The People list shows each person's address and role. A table captioned "People who can sign in" holds one row per person, and your own row reads **You**. A person who has not signed in yet has the line "Invited. They have not signed in yet." under their address, with **Resend** to send a new invitation and **Revoke** in place of **Remove**. A row can also read "Status unknown" when BotSay cannot tell. ## How do I remove someone? Choose **Remove** on their row. A box asks "Remove" followed by their address, and says they can no longer sign in to this workspace and that nothing they did here is undone. Choose **Remove** with their address to confirm, or **Keep them**. Removal takes effect on that person's next request. You can invite them again at any time. For an invitation not yet used, **Revoke** asks "Revoke the invitation to" followed by the address. Confirm with **Revoke the invitation** or choose **Keep the invitation**. ## Why can't I remove someone? Two rules stop a removal. Your own row has no **Remove**, and BotSay says "You cannot remove yourself. Ask another admin of this workspace to remove you." A workspace needs at least one admin. If the person is the only admin, BotSay says "A workspace needs at least one admin, so this person was not removed. Add another admin first." ## Where do I see what changed? Open **Setup**, **People** and the section **What changed here**, which shows the two newest changes and a link, **All changes**. It opens the whole log, titled **What changed here**, one week at a time. Only admins can open it. Each change is one sentence with who did it first, for example "dana@tessera.example added a person". Changes BotSay made itself say "BotSay". Repeats fold into one line, such as "3 times", with a date like "18 Sep 2026" or "14 to 18 Sep 2026". Times are UTC. Use **Earlier week**, **Later week** and **Back to People** to move around. A quiet week says "Nothing changed this week." ## What is on the Your account page? The **Your account** page shows your email, role and workspace. Any member can open it from the foot of the side menu. The card **Signed in as** shows your **Email**, your **Role** (Admin or Member) and your **Workspace**. Your email address is how you sign in, so it cannot be changed here. To use a different one, ask an admin of the workspace to invite it.
