Set up your workspace
After you pay, BotSay emails you and the admin opens guided setup, which turns your website into a tracked brand, rivals and starting questions in five steps. Nothing is saved until you accept it.
What happens after I pay? #
Stripe sends you back to a page headed Thank you. Check your email., and within a few minutes an email titled "Your BotSay workspace is ready" arrives from BotSay.
When it can, the page shows the address the workspace is for: sign in with that address. A receipt comes in a separate email. If nothing arrives after ten minutes, check your spam folder.
The person who pays becomes the workspace's admin.
Who can do the setup? #
Only an admin can accept things and press buttons, and any member can look. What admins and members can do lists what each role can do.
A member sees the note "An admin sets this up. You can look through each step." on the welcome screen, and a Look through the steps link in place of the start button. Until an admin finishes, everyone who opens This week in a workspace with no questions is sent to setup instead.
Start setup from the welcome screen #
Choose Let's begin on the welcome screen headed Let's get you set up. Opening the screen saves nothing.
The screen lists the five steps in one line each: your website, your sites and pages, your rivals, your themes and questions, and the closing screen.
Enter your website (step 1 of 5) #
Enter your website address and press Start, and BotSay reads your homepage and drafts your rivals and questions.
- Enter your Website address, for example yourcompany.com.
- Optional: in Brand or product you track (optional), name the one brand you want. Leave it empty to track the whole company. If your company sells under several brands, naming one makes BotSay find that brand's rivals and questions.
- If Country your questions are asked in appears, choose a country. The list appears when your workspace offers a choice, and the country is saved when you start.
- Press Start. BotSay reads your homepage, asks the AI engines what you offer and who you compete with, then checks which questions people search for. The screen says which stage it is on, and the first two take a minute or two each.
- When Continue appears, press it.
What if reading my website fails? #
The button becomes Start again, and you can press it to try again. After three tries the screen says you can set everything up in Setup instead.
Check your sites and pages (step 2 of 5) #
The step headed Your sites and pages shows which brand BotSay will track, for example "We'll track Tessera".
What we read lists your homepage and the pages linked from it. Track a different brand lets you name another brand, or pick one of your company's other brands when the engines found any. It drafts your rivals and questions again, takes a minute or two, and is offered only while no brand is marked as yours.
If the engines named other sites that look like yours, a card titled We also found these sites that look like yours offers Yes, they're all mine, Choose which ones and No, none of these are mine. Until you decide, those sites do not count as yours.
What does Continue save on the sites and pages step? #
Continue adds your website as one of your sites and, if no brand is marked as yours, names your business as your brand.
The link Skip, only count followed by your address does the same. Other sites are added only if you chose them on the card that offers them.
Accept your rivals (step 3 of 5) #
BotSay lists the rivals the engines name beside you under Your rivals, ranked by how often each is named, and ticks the top five.
Tick more, untick any, choose Remove on a row, or choose + Add a rival we missed and then Add. The main button counts what you ticked: Accept 5 rivals and continue. Skip, track no rivals for now moves on without tracking any, and you can add rivals later in Setup.
Accept your themes and questions (step 4 of 5) #
BotSay suggests up to ten starting questions under Your themes and questions, in three groups: About your brand, About your rivals and Open questions about your category.
A group is a theme, and these names become the themes the rest of BotSay shows. On each question you can change Group, choose Edit or choose Remove. Choose + New group… in the Group list to make a new theme, name it and choose Make the group. + Add your own question adds one, up to ten. At ten the screen says "10 of 10 to start" and points you to Setup for more.
Press Accept 10 questions and continue (the number follows your list). With no questions the button reads Add a question to continue.
Finish setup (step 5 of 5) #
The closing screen, headed You're set up, summarises your Website, Rivals and Questions and says when your first reading goes out.
It also says that every question you set up is asked automatically every week. Press Go to your workspace to open This week. When your first numbers arrive explains what you will see there.
Can I leave setup part way? #
Yes. Everything you have accepted is kept, and anything on the screen you have not accepted is not.
For an admin, anything that takes you out of the steps, such as the side menu, first asks Leave setup for now? with Stay and Leave setup. To come back, open Setup and choose Finish setting up, which returns you to the step you reached.
How do I add more questions later? #
Open Setup, then Questions. Your plan sets how many questions you can ask.
When you reach the limit, BotSay says how many you ask now and asks you to stop asking one before you add another. Manage your questions and themes covers adding, rewording and stopping questions, and Plans and prices covers the limits.
